QuickBooks review request automation
Short answer: How do you automate Google review requests from QuickBooks Online? Connect an app that watches for invoices paid in full, then sends each customer one request with your Google review link after a short delay. InvoiceStars does this for $25/month per location: 2-day default delay (0–30 days), one ask per customer per 90 days, and ap@/billing@ inboxes skipped.
Three ways to do it
Ways to automate QuickBooks review requests| Method | How it works | Trade-offs |
|---|
| Manual | Run a paid-invoices report and email each customer your review link. | Free, but easy to forget. See the step-by-step manual method. |
|---|
| General automation (e.g. Zapier) | Build a workflow from a QuickBooks event to an email step. | You build and maintain the rules: paid-in-full check, delay, cooldown, AP inbox filtering. |
|---|
| Dedicated app | An app connected to QuickBooks Online sends requests for you. | Monthly cost. Compare NiceJob, Podium, Birdeye, ReviewNudger. |

How to set it up with InvoiceStars
- Connect QuickBooks Online. Sign in with Intuit to connect your QuickBooks Online company. No Zapier or exports.
- Add your Google review link. Paste the link to your Google Business Profile review form.
- Pick a send delay. Requests go out 2 days after payment by default. Choose any delay from 0 to 30 days.
- Let paid invoices do the work. When an invoice balance hits $0, the customer gets one email request. Each customer is asked at most once every 90 days, and ap@ and billing@ inboxes are skipped.
Rules that make automation work
- Trigger on paid in full, not on invoice sent or deposit received.
- Wait a little. A short delay lets the customer use what they paid for.
- Cap repeat asks. Monthly clients shouldn't get a request every month.
- Reach a person. Business invoices often go to ap@ or billing@; skip those.
- Follow Google's policy. Ask everyone, offer no incentives, and don't filter out unhappy customers.
